General Information for Tenants

Office Hours

​

Our office is open from Monday to Friday between the hours of 9.00am and 5.00pm.

If you need to speak to any of our staff members outside of these hours, please phone your Property Manager on their mobile.

How to Pay your Rent

Rent is paid by Direct Debit. 

Upon a successful application & at the sign up with your property manager, you will be provided with the necessary paperwork required to set up your Direct Debit.

Rental Payments

Your rent is required to be paid in advance at all times. If at any time you are unable to make a rental payment, please contact your Property Manager.  If we do not receive your rental payment and you have not contacted us,  this may lead to you being issued with Breach notices and/or a Notice to Vacate so please let us know if you are going to be late with a rental payment.

Electricity, Gas and Telephone

Please ensure you connect the above services in your name as it appears on the lease when you move into one of our properties and also ensure your accounts are closed when you choose to leave.

Property Condition Report

The property condition report is a very important record of the condition of the residential premises.  It outlines the condition of the property at the commencement of your tenancy.  Upon you vacating the property it will be used as evidence to identify any areas of the property that require further attention (e.g. cleaning), or repairs by the outgoing tenant.

We will provide you with an electronic copy of this report when you collect the keys to the property.  You should review the report thoroughly and make any additional comments if you feel it necessary.  You will be prompted to add a photograph to reflect and verify each amendment.  After you have reviewed the report and no more than 7 days from collecting the keys to the property, you must return it to us, retaining a copy for your records.   If you do not return the report within the 7 days given, the original report will be used to assess the property when you vacate.

Rental Bond

Your rental bond will be lodged with the Bond Administrator and is held as security against any cleaning, damages or unpaid rent to the property.

Shortly after lodgement, you will receive written confirmation from the Bond Administrator that they have received your rental bond and will provide you with a Bond Lodgement Certificate.

Your rental bond will be refunded to you after you have vacated the property provided that your rent is up to date and there are no monies owing for cleaning or repairs to the property.

Inspections during your tenancy

During the course of your tenancy, your Property Manager will inspect your property 4 times during each year.  We will give you at least 7 days notice of each inspection by email.  You do not have to be present at each inspection but it is your right to be in attendance as this is your home.  If you are not home, the Property Manager has keys and is able to enter the property  for the purpose of this inspection.  Please note, tenants with dogs at the property MUST be in attendance at all times during the inspection and should be on a leash. If the inspection time given is not convenient, please contact your Property Manager to reschedule as soon as possible after the notice is received.

 

Repairs and Maintenance

All requests for repairs and maintenance are best reported via email to your Property Manager.  Your Property Manager will respond to all requests for repairs and maintenance within three business days however, in many instances it will be necessary to obtain the owner`s approval before any work can commence.

Urgent repairs will be addressed in accordance with legislative requirements.

Keys

We will retain a duplicate key in a secure location at our office in case we need access in an emergency.  If any locks at the property require changing, please contact your Property Manager.

Insurance

The owner's insurance cover on the property does not extend to tenant's belongings.  We strongly suggest that you take out comprehensive contents insurance to cover your belongings against fire, theft and other perils.

​

In the event that you or a visitor accidentally damages the property and rectification work is required, you will be required to pay any excess that applies to the owner`s insurance cover.

Sub-leasing

Your tenancy agreement states the maximum permissible number of people who can occupy the property.  If there is any change in either the original occupants or any additional occupants, please notify your Property Manager immediately.  Under no circumstances are you to sub-let your property without the owner`s consent.  So if you would like to sub-let your property, talk to your Property Manager first.

Termination of a Tenancy Agreement

Your tenancy agreement is a legal contract providing protection for both you and our property owner.  You can only terminate this agreement in one of the following ways:

  • If you decide to vacate the property at the end of your tenancy agreement, then you are required to provide at least 30 days written notice to us prior to the expiry of your tenancy agreement.

  • If you decide to vacate after your tenancy agreement has expired, you must provide us with at least 21 days written notice in advance.

  • If you decide to vacate the property prior to the expiration of your tenancy agreement, commonly known as 'breaking your lease', please contact your Property Manager immediately.  In this situation, we will find another tenant to take over your tenancy obligations.  If this does occur, you will be responsible for reimbursing the owner for unexpected costs including but not limited to:​

    • Payment of all rent until another suitable tenant moves into the property

    • Payment of all costs associated with the re-leasing and advertising of the property.

    • Payment of a letting fee, your Final Bond Inspection and new Property Condition Report

Please email your vacate notice to your Property Manager with a read receipt attached.  If you do not receive a reply within one business day, please follow up with a phone call to confirm that it has been received.   Unfortunately, we cannot receive Vacating Notices over the phone as they are not legally permissible. Please contact your Property Manager if you have any questions about your notice to vacate.
